Who is collecting your information

CoolWeb, a sole trader run by Sandra Tanner, at 7 Tiro Kokoru Lane, Mahurangi East, Auckland 0982, New Zealand. You can reach me on 027 728 0862 or at[email protected]. This policy covers the website at coolweb.design. It is written to meet the New Zealand Privacy Act 2020.

What I collect when you fill in the contact form

Only what you type into it: your name, email address, phone number, what you need, your type of business, your current website address, what is not working, your timeline, and your message. Nothing is pre-filled and nothing is bought from anyone else. I also record the date you sent it.

I use it to answer your enquiry and to quote your job. I do not sell it, rent it, or add you to a marketing list. You will not get a newsletter, because I do not send one.

What I collect when you use the free website scanner

The website address you type in, so it can be fetched and checked. The page text of that site is sent to Anthropic's API to produce the report you see. I do not store the report, and the scanner does not ask for your name or email.

What gets collected automatically

Your IP address is held briefly to stop abuse: one hour for the contact form, which allows eight submissions, and 24 hours for the scanner, which allows five scans. It expires by itself and is not used for anything else.

This site also uses Google Analytics, which sets cookies and tells me things like which pages get read and roughly which region visitors come from. It does not tell me who you are. If you would rather not be counted, block cookies for this site in your browser, or use Google's opt-out browser add-on. Nothing on this site breaks if you block it.

Fonts are loaded from Google Fonts, which means Google receives your IP address when a page loads. That is a request I make of them, not data I receive.

Who else sees your information

Only the services needed to run the site and answer you. Each one gets only what it needs to do its job.

  • Cloudflare hosts the site and stores contact form submissions in a database I control.
  • Brevo sends the enquiry email to me and the confirmation email to you.
  • Zoho hosts my email inbox, so your enquiry lands there.
  • BurstSMS may text me an alert that an enquiry arrived. The text goes to my phone, not yours.
  • Anthropic receives the page text of any site you run through the scanner.
  • Google receives analytics events and the font requests described above.

Some of these store data outside New Zealand. That is normal for web services, and it means your information may be held overseas under the laws of those countries.

How long I keep it

Enquiries are kept for two years from the day you send them, then deleted. Two years is long enough that I can pick up a conversation you started last year and honour a price I quoted, without sitting on your details forever. Ask me sooner and I will delete yours straight away.

The IP records used to stop abuse expire on their own inside a day, so there is nothing to delete there.

Asking for a copy, a correction, or deletion

Email [email protected] and ask. Under the Privacy Act 2020 you have the right to see what I hold about you and to have it corrected if it is wrong. I will also delete it if you want it gone and I have no legal reason to keep it. No forms, no charge, and I will come back to you within 20 working days, which is what the Act allows.

If you are not happy with how I handled it

Tell me first, because it is usually something I can fix the same day. If that does not resolve it, you can complain to the Office of the Privacy Commissioner atprivacy.org.nz, which investigates privacy complaints in New Zealand at no cost to you.

Changes to this policy

If what the site collects changes, this page changes with it and the date at the top moves. I do not keep an archive of old versions, so if the wording matters to you, save a copy.
